Customize the email users receive when they request a Magic Link, then test delivery before rolling it out to real users.
VentraConnect lets you customize the content of Magic Link emails so the message fits your site and clearly explains what the user should do.
This guide covers:
- Email subject and body
- Supported Magic Link placeholders
- Writing clear email copy
- Preview and test tools
- Delivery and SMTP considerations
- What VentraConnect Pro adds for email branding
Open the Magic Link Email Settings
Open the Magic Link settings in VentraConnect and locate the email settings section.
The core Magic Link email content is available in VentraConnect Free. VentraConnect Pro adds additional branding controls for supported passwordless emails.
Supported Magic Link Placeholders
Use placeholders so VentraConnect can insert the correct login URL and request details into the email.
{magic_link}{site_name}{user_email}{expires_in}Keep the Magic Link placeholder in the template. If the final message does not contain the generated login link, the user will have nothing to click to complete authentication.
Write a Clear Magic Link Email
The email should make it immediately obvious why the user received it and what the link does.
Recommended content
- Tell the user the email contains a sign-in link
- Explain that the link is single-use
- Mention the expiry period
- Tell the user they can ignore the message if they did not request it
- Avoid wording that encourages the user to forward the email
Use the link below to sign in to {site_name}. This link works once and expires in {expires_in} minutes.
Log in now
If you did not request this email, you can ignore it.
You can change the wording to match your site. The important part is keeping the message clear and preserving the required placeholders.
Subject Line Guidance
The subject line should make the purpose of the email obvious without sounding alarming or promotional.
Examples
- Sign in to {site_name}
- Your login link for {site_name}
- Magic Link for {site_name}
Avoid misleading security language. The message is a login email, so the subject should not imply an account compromise or urgent security incident unless that is actually what happened.
Preview and Test the Email
Use the Magic Link preview/test tools before relying on the email in production.
Recommended test:
- Open the Magic Link preview/test section
- Send a test email to an address you can access
- Confirm the subject is correct
- Confirm the body renders correctly
- Confirm the Magic Link is visible and clickable
- Check that the site name, email address, and expiry placeholder values are replaced correctly
- Open the link and confirm login succeeds
- Confirm the post-login redirect is correct
- Try the same link again and confirm it cannot be reused
Testing the email also gives you a chance to catch formatting problems caused by your theme, SMTP plugin, mail provider, or email client.
Email Delivery Depends on WordPress Mail
VentraConnect generates and sends the Magic Link email through your WordPress site's email-delivery setup. VentraConnect itself is not a hosted email-delivery service.
A successful Magic Link request does not guarantee inbox delivery. Email delivery is affected by your WordPress mail configuration, mail provider, DNS authentication, reputation, and the recipient's filtering rules.
What VentraConnect Pro Adds to Email Branding
VentraConnect Pro adds additional branding controls for supported Magic Link and Email OTP emails.
Pro email branding
- Brand logo
- Accent / brand styling
- Footer branding controls
The authentication and security behaviour of Magic Link remains the same. Pro branding changes the presentation of supported passwordless emails rather than changing the Magic Link verification model.
Troubleshooting Magic Link Email Delivery
If the user does not receive a Magic Link email, separate the problem into two questions:
Do not repeatedly request new links while debugging delivery. Resend throttling may apply, and older emails can also make it harder to tell which link you are testing.
