Customize the sender, subject, message body, placeholders, branding, and delivery of Email OTP messages.
VentraConnect lets you customize the email users receive when they request an OTP so the message is clear, recognizable, and easy to use.
This guide covers:
- Email sender settings
- Email subject
- Email body
- Supported OTP placeholders
- Writing clear OTP email copy
- Preview and test tools
- Email delivery and SMTP considerations
- What VentraConnect Pro adds for email branding
Open the Email OTP Email Settings
Open VentraConnect → Login Methods → OTP (Email) and locate the email settings section.
The core OTP email template is available in VentraConnect Free. VentraConnect Pro adds additional branding controls for supported passwordless emails.
Email Sender
The Email sender field lets you control the name users see as the sender of OTP emails.
Use a sender name your users will recognize. This helps make the authentication email easier to identify in a busy inbox.
Email Subject
The subject line should make it immediately clear that the email contains a login code.
Example: Your login code for {site_name}
Keep the subject clear and functional. Avoid promotional wording that could make an authentication email look like a marketing message.
Supported OTP Placeholders
Use placeholders in the email body so VentraConnect can insert the correct code and request details automatically.
{otp_code}{expires_in}{user_email}{site_name}Keep {otp_code} in the template. If the final message does not contain the generated OTP, the user cannot complete authentication.
Write a Clear OTP Email
Recommended: keep the message short, state what the code is for, show the code clearly, mention the expiry time, and tell users they can ignore the email if they did not request it.
Your login code for {site_name}
Body:
Hi,
Here is your one-time login code for {site_name}:
{otp_code}
This code expires in {expires_in} minutes.
If you did not request this code, you can ignore this email.
Thanks,
{site_name}
Plain text or simple HTML is usually easiest to read across desktop and mobile email clients.
Preview & Test the OTP Email
Use the OTP preview/test tools before relying on the email for production login.
Recommended test:
- Send a test OTP email to an address you control
- Confirm the sender name is correct
- Confirm the subject renders correctly
- Confirm
{otp_code}is replaced with a real code - Confirm
{expires_in},{user_email}, and{site_name}render correctly - Check the message on desktop and mobile if possible
- Complete a real OTP login while logged out
- Confirm the code is accepted before expiry
Email Delivery Depends on WordPress Mail
VentraConnect generates the OTP email, but successful inbox delivery depends on your site's WordPress mail setup and sending provider.
Email OTP depends on timely delivery. If messages are regularly delayed, fix delivery before making OTP a primary login method.
What VentraConnect Pro Adds to Email Branding
VentraConnect Pro adds additional branding controls for supported Magic Link and Email OTP emails.
Branding changes the presentation of the email. It does not change OTP expiry, verification attempts, throttling, or other security behaviour.
